The migration from Zixmail to MS Encryption for secure customer communications provides a number of benefits:

  • Offering customers a more user friendly interface that streamlines the process of managing encrypted documents. Instead of a unique set of credentials for each email, MS Encryption will leverage a one-time password or supported email service to retrieve encrypted information.
  • Strengthening GRB’s internal document security encryption and monitoring protocols.
  • Allowing organizations that have already implemented Single Sign On (SSO) with Microsoft to use MS Encryption within their existing MS framework.

When will you see MS Encryption?

Customers will see encryption messages when they receive and download documents from GRB that contain Non-Public Information (NPI). Examples include:

  • Bank statements/Loan statements
  • Account documents
  • Bank letters
  • Wire requests
  • Wire agreements
  • Copies of checks
  • Etc.

How MS Encryption works

The image shows what the interface will look like when encrypted files are sent to you from GRB. Please note:

  • Encryption does not alter the Subject line coming from GRB.
  • We strongly encourage you to review the sender’s email address carefully to ensure it is accurate.
  • Always stop to consider whether you are expecting something from GRB before you click on a link in any email.

Sign in options

You have two options for accessing encrypted files:

  • If available, you can choose to sign in with an existing Single Sign On (SSO) platform. Using SSO will take you right to the document.
  • Sign in with a one-time passcode delivered via email (This is similar to Zixmail, but MS Encryption provides a much more streamlined process. You will receive an email with a one-time passcode that you will need to enter as follows:

Using the Passcode to sign in

  • Your passcode email will come from Microsoft Office 365 Message Encryption and will contain an eight digit numeric passcode.
  • Enter the passcode back in the browser screen. NOTE: Passcodes are only valid for 15 minutes.
